Manage your inventory and stock

2 min read

In InnoBooks, stock is tracked on each item: you enter a quantity on hand, a minimum threshold and a unit of measure. The starting quantity goes on the item’s record, and you adjust it over time with Waste & adjustments. Here’s how to set it up.

Waste & adjustments: every stock adjustment with its reason, quantity and cost.

What you’ll need

  • Permission to create and edit items.
  • The physical items you want to track (Services don’t hold stock).
  • Optional: the inventory module (Waste & adjustments) to change quantities after setup.

Steps

  1. Open an item

From the menu, open Item & Services and stay on the Items tab. Click Create New then Create new item, or click an existing item’s name to open it for editing.

  2. Fill in the Price and stock section

On the item’s record, find the Price and stock section. Enter the Quantity on hand, the Minimum to keep (your reorder threshold) and the Unit of measure (kg, L, un…). You can also fill in the sale Price and the Last buying price.

  3. Choose inventory options (Optional)

In the Display options section, tick Track inventory (online store) if you want your online store to account for this item’s stock. The other checkboxes (Show in POS, Show in MobileApp, Price adjustable, Featured (online store)) control where and how the item is sold.

  4. Save the item

Click Save. Your item appears in the list with its price, and its starting quantity is stored.

  5. Adjust stock with Waste & adjustments

To change a quantity (receiving, a count, waste), open Waste & adjustments under the Item & Services menu, then click New adjustment. On each line, pick the item, the direction (Addition to increase, Loss to decrease), the Quantity and a Reason (Expired, Breakage, Inventory correction, etc.), then save.

Tips & edge cases

  • Stock is tracked on Items only. Services have no quantity or unit.
  • On creation, quantities start at zero. Use Waste & adjustments → Addition (or a count) to establish your opening stock if you didn’t enter it on the record.
  • The Minimum field is your reorder marker: keep it up to date to know when to restock.
  • Deleting an adjustment restores stock to its previous value — the action is reversible.
  • Quantities and units accept decimals (for example 2.5 kg).

Frequently asked questions

Where do I enter an item’s stock quantity?

On the item’s record, in the Price and stock section, the Quantity field. There you also set the Minimum to keep and the Unit of measure.

How do I correct a quantity after a count?

Open Waste & adjustments then New adjustment. Add a line for the item, choose Addition or Loss, enter the difference and pick the Inventory correction reason. Save.

What does “Track inventory (online store)” do?

It flags that this item’s quantity should be accounted for by your online store. Without it, the item stays sellable without a store-side stock count.
