View an item’s history

Item History brings together every document an item appears on — invoices, expenses and receipts — with the date, supplier and amount. Open a row and you also see how the purchase price changed and the latest price by supplier. Perfect for tracking your product purchases.

What you’ll need #

  • Permission to view item history.
  • At least one item already used on an invoice, expense or receipt.

Steps #

  1. Open the Item History page

    From the menu, open Item & Services, then Item History. The Item History page lists every movement.

  2. Filter the list

    Use the search box to find an item by name. Narrow it down with the Type filter (Invoice, Expense, Receipt or All status), the Supplier filter, and the Start Date and End Date fields to target a period.

  3. Read the columns

    Each row shows the Photo, the document Number, the Type, the Date, the Item name, its Item description, the Supplier and a Note. Click a column header to sort.

  4. Open an item’s detail

    Click a row to open the detail window. At the top, the item’s name and description, then Invoice, Expense and Receipt tabs. The Invoice and Receipt tabs list the matching documents (number, subtotal, tax, net amount, quantity); the Expense tab shows no detailed table.

  5. Compare purchase prices

    The same window shows the Price history as a chart, plus a Latest price by supplier table (columns Supplier, Latest price, Observed on). If there’s no data yet, it reads No purchase observations yet.

Tips & edge cases #

  • Your filters and sort are remembered for the session: you’ll find them again when you return to the page.
  • The Supplier filter combined with a date range is perfect for checking what you bought from a given supplier.
  • The Latest price by supplier table helps you spot where the same product costs you the least.
  • An item with no recorded purchase shows no chart: that’s normal until an expense or receipt mentions it.

Frequently asked questions #

How do I see every purchase of the same product? #

Open Item History, search the product by name, then click one of its rows. The detail window gathers its invoices, expenses and receipts, with the price history.

Can I limit the history to a period? #

Yes. Set the Start Date and End Date in the filter bar; the list then shows only documents within that range.

Where do the chart’s prices come from? #

From recorded purchases (expenses and receipts) for that item. Each purchase adds a price point; the Latest price by supplier table summarizes the most recent price seen from each supplier.
