Your team's schedule and hours, in one place

Plan who works on what, and when. Your employees enter their time-off requests, and you approve them. At the end of the period, the timesheet gathers the hours, travel and expenses of one employee or the whole team, ready to export as a PDF.

Your team's schedule

The Schedule & Assignment page puts everyone's work on a calendar. You enter four kinds of items there: a task assignment, a project assignment, a leave request or an absence. Each one has its employee, a start date and time, an end date and time, and a description and a note if needed; an assignment also names its project.

You switch between day, week and month, or show everything as a list, with the category, project, period, status and person. The administrator and the manager filter the calendar by member, from the list on the left. An end set before the start is refused before saving.

  • Task and project assignments
  • Leave requests and absences
  • Day, week and month views, or the full list
  • Filter by team member

Time off and absences to approve

Your employees enter their own leave requests and absences, for themselves only. The request arrives as « Pending »; the administrator or the manager moves it to « Approved » or « Rejected ». Employees can edit or withdraw their requests, but they do not create task or project assignments.

Assignments have their own tracking: « Todo », « In Progress » and « Done » for a project, « Todo » and « Done » for a task. Each category has its own colour on the calendar.

  • Requests entered by the employees themselves
  • Pending, approved or rejected
  • Decided by the administrator or the manager
  • Assignment tracking: todo, in progress, done

On the dashboard

Three dashboard widgets keep an eye on the team. « Today's schedule » shows who is scheduled today, grouped by service — morning, lunch, dinner —, leaving out time off and absences. « Upcoming tasks » shows each person their assignments for the next seven days. « Hours this week » gives the hours logged per employee since Monday, and the team total.

  • Who is working today, by service
  • Assignments for the next seven days
  • This week's hours, per employee

The timesheet for a period

Pick an employee and a period — shortcuts save you hunting for dates — and the timesheet is built from what is already in InnoBooks: the hours from time tracking, and the travel and expenses assigned to that person. You can narrow it to one client or one project.

At the top, three totals: hours, kilometres and expenses. Below, each entry with its date and project; hours also show the client, service and description. Three switches, Time, Transport and Expenses, show only what you want to check. The administrator and the manager can also pick « All Employees »: the whole team at once, with each person's name on their lines.

  • One employee, or all employees
  • A period, a client or a project
  • Totals for hours, kilometres and expenses
  • Time, Transport and Expenses switches

As a PDF, for payroll or billing

Once everything checks out, « Export PDF » produces the period's timesheet, named after the employee and the dates. The PDF keeps only the sections you left switched on: turn off expenses and they are left out. InnoBooks does not run payroll: the PDF is the record you hand to whoever does, or keep before you bill.

The timesheet is not edited by hand: it reflects the entries. A wrongly logged hour is fixed at the source, in time tracking, and the timesheet follows.

  • « Export PDF » in one click
  • Only the sections you chose
  • File named after the employee and the period
  • Corrections made in time tracking

Import hours from a CSV file

Hours noted elsewhere, in a spreadsheet or another app, come in all at once. Download the CSV template and fill in one row per entry: date, start and end time, project, client, service, description, billable or not. The administrator or the manager can also name the employee. Project, client and service are matched by name.

Before importing, the preview shows every row, ready or in error, with its own checkbox. A row that repeats an hour already recorded — same employee, same day, same duration, same project, service and description — is flagged as a possible duplicate. You uncheck it, and only the checked rows go in.

  • CSV template to download
  • Preview before importing, one checkbox per row
  • Possible duplicates flagged
  • Project, client and service matched by name

Your team's hours, in reports

The time tracking report lists hours with their date, employee, project, client and description, billed or not. You filter it by employee, client, project or period; the total hours and amount follow, and the report exports to CSV or PDF.

The Team Utilization report compares, for each member, the hours logged with their capacity, counted on a 40-hour week: billable and non-billable hours, utilization rate and billable revenue. It also exports to CSV or PDF.

  • Time tracking report: employee, client, project, period
  • Billed or unbilled
  • Team Utilization: capacity, billable hours, rate
  • CSV and PDF export

Everyone sees what they should

The administrator and the manager see the whole team's schedule and timesheets. Employees see their own schedule and their own timesheet, and nothing of anyone else's.

The people on the schedule are your team members in InnoBooks, invited with their email address. Till employees who only sign in with their PIN on the tablet are not on it.

  • Administrator and manager: the whole team
  • Employee: their own schedule and timesheet
  • Members invited by email

Depending on your plan

Timesheets and hours import come with every plan. The Departure Package covers only you: to follow a team, you need Professional Access or the Elite Plan, which take members. The time tracking report comes with Professional Access.

The schedule and assignments, time-off approval, the Team Utilization report and the « Hours this week » widget come with the Elite Plan, which the Restaurant Package includes.

  • Timesheets and import: every plan
  • Team and time tracking report: from Professional Access
  • Schedule, time off and team utilization: Elite Plan
  • Restaurant Package: all of the Elite Plan
